CoCounsel HQ ("we", "us") provides legal-support services and a referral network for law firms. This policy describes what we collect, how we use it, and the choices you have. It applies to cocounselhq.com, our client portal, and the CoCounsel HQ Referral Network.
Information we collect
Account and firm information you provide (name, work email, phone, firm name and size, bar number, practice areas, states of licensure); order and matter information submitted through the portal in the course of our services; referral-network activity (referrals posted, interest expressed, tier and credit activity); and standard technical data (log, device, and usage information).
Protected health information
Documents processed in the course of services such as medical records requests and lien resolution may contain protected health information (PHI). We handle PHI under HIPAA-appropriate safeguards, store it encrypted, restrict access to personnel who need it to perform the service, and never use it for marketing.
How we use information
To deliver and support the services you order; to operate the referral network (including your directory profile and tier); to communicate service updates; to send product and marketing email you can opt out of at any time; and to meet legal obligations.
Public directory
Your lawyer profile appears in the public directory only if you opt in. Public profiles never display your email address; a phone number or website appears only if you choose to add them to your public profile. Contact requests are relayed through our platform form. You can opt out at any time from your Referral Profile settings, which removes the public page.
Sharing
We do not sell personal information. We share information with service providers who process it for us (hosting, email delivery, payments), with counterparties you choose to connect with on the referral network, and where required by law.
Retention & security
We retain information for as long as your account is active or as needed to provide services and meet legal requirements. Data is encrypted in transit and at rest; access is role-restricted and audited.
Your choices
You can access and update account information in the portal, unsubscribe from marketing email via the link in any message, opt out of the public directory, or request deletion of your account by contacting us.
